Abstract

Administrative efficiency is a critical determinant of effective school governance and depends largely on an institution’s capacity to manage organizational information in a systematic manner. Although previous studies have established the importance of records management in enhancing administrative quality, limited research has examined the mechanisms through which it improves administrative efficiency in primary schools. This study investigates the strategic role of records management in enhancing administrative efficiency at SD Negeri 001 Medan through a qualitative case study approach. The study is informed by the Records Management Life Cycle Theory and Information Management Theory. Data were collected through semi-structured interviews, observations, and document analysis involving the school principal, administrative staff, and teachers. The data were analyzed using the interactive model proposed by Miles, Huberman, and Saldaña. The findings reveal that records management enhances administrative efficiency by improving information accessibility, reducing document retrieval time and accelerating workflow, strengthening administrative accuracy through systematic documentation, and improving service quality. Effective implementation is supported by leadership commitment, staff competence, and organizational support, while limited storage capacity and the incomplete digitalization of records remain major challenges.
